    Direct File Upload for Data Collection

     

    Data Extraction’s enhanced file upload option converts uploaded financial reports into structured, standardized Excel workbooks for auditing and analysis regardless of ERP or accounting system. This option better assists firms that work with clients whose systems are not currently supported by our system integrations and minimizes their need to rely on manual uploads and fragmented data collection. To move forward with this option, you can have the client send you the exported data to upload yourself in Data Extraction or you can share a secure link for the client to upload their own files.

    Before Continuing

    The following applies to the file upload option as of May 2026:

    • We support the upload of Trial Balance (full-period or monthly) and Chart of Accounts files
    • Files must be single currency
    • This flow leverages AI only to map the uploaded files to classification categories and generate a structured workbook that follows our Common Data Model. You can check and confirm the classification mapping before producing the output

    1. Open the workspace from the list and click New Data Collection in the top-right corner.

    2. Select File Upload on the right side and then click Next.

    NOTE

    Only CSV and Excel file formats are accepted (i.e., .csv, .xls, and .xlsx). You will not be able to proceed with upload if different file types are used.

    1. Choose one of the following options and then click Next:
      • Create upload link: Generate a secure share link to prompt the recipient to upload the required files. For more details on how clients upload their files using this method, see the File Upload for Data Collection via Secure Link article. 
      • Upload files yourself: Attach the files from your computer or system.

    2. Select/enter the parameters for data collection (all fields are required) and then click Next:

      • Select the date to collect data through: Defaults to the current date, but you can click on the arrow at the far-right of the field to choose a previous month, day, and year. Use this to specify the end of the period for your uploaded data.
      • Collection period:Defaults to collect the fiscal year to date plus 2 more fiscal years. Hover over the field and use the up/down arrows at the far-right to change the number of additional fiscal years, or choose the >Fiscal year to date only option, if applicable.
      • Basis of accounting: Leave this field set to Accrual.
      • Company name: Enter the name of the company to which the financial data belongs.
      • Currency: Choose a currency from the dropdown list, if applicable (reminder: upload only supports single-currency files). This defaults to USD for all customers.
      • Fiscal end month: Confirm or change the last month of the fiscal year you entered.

    3. If you selected Upload files yourself in Step 3, skip to the next step. If you selected Create upload link, the next window provides the secure URL along with the expiration date (see image below). Click on the copy icon to the right of the URL to share it with your client. The remaining steps do not apply if you are sharing a link with your client.     4. If you selected Upload files yourself in Step 3, a verification prompt opens in a separate window. Check your email inbox for a verification code (see image below). Enter the code and click Next

      If the verification window does not automatically open, click Copy link and paste it in a separate tab to continue.

    5. Drag and drop your Chart of Accounts file or click Choose file to find/select the file on your computer.

      Notes:
      • All accounts in your general ledger must be consolidated into one file for this step

      • The file size cannot exceed 10MB

      • Only files with the following extensions are accepted: .csv, .xls, or .xlsx

      • If you do not have access to your client's Chart of Accounts file, click here see our guide for using a Trial Balance instead of a Chart of Accounts for this step.

    1. Click Continue in the bottom-right corner once the upload finishes processing.

    2. Drag and drop your Trial Balance files for the collection period specified under the Upload Trial Balance (e.g., Jan 2021 – Dec 2025 in the example image) or click Choose files to find/select the files from your computer.

      • Multiple files can be uploaded if data is split across periods (up to 60 files are allowed)

      • The maximum file size cannot exceed 10MB

      • Only files with the following extensions are accepted: .csv, .xls, or .xlsx

    3.  Click Begin Processing in the bottom-right corner.

    4.  Processing may take a few moments depending on how much data was uploaded. You can remain on this page or click on the link from the email notification when processing is completed.

    5.  Click Review mapping in the bottom-right corner to continue. If you receive an alert that there were issues found during processing and action is required, click here for troubleshooting tips and additional information.

      Note

      If you left the page during processing, you will receive an email notification when it is completed. Click Continue from the email notification (shown below). If, however, the processing was not successful, you will receive an email notification with a link to review the errors. Click here for troubleshooting help.

    6. Review and confirm the mapping under the Classification column for the accounts. If there are multiple pages of accounts, use the arrows in the bottom-right corner of the table to move forward and back.

      IMPORTANT REMINDER

      The classification mapping is completed by AI based on the information available and it can make mistakes. It is important to closely review the confidence rating column and update any classifications where necessary. For example, you should always review any classifications flagged with a Low confidence rating and choose a different option, if applicable. Medium and High confidence ratings, however, may not require any action.

    7. Click Confirm mapping and submit in the bottom-right corner to move forward with workbook production.

    Finding Collected Data & Workbooks

    Follow the steps below to access the uploaded information and any produced workbooks.

    1. Open the workspace in the Data Extraction portal and click on the date of the collection record under the Created column.

    2. Use the checkboxes to select which files to export, such as the initial consolidated file (i.e., Customer Copy) or any of the workbooks generated for analysis. Click Download Files in the bottom-right corner.
